Summary

The Executive Assistant is responsible for performing high-level, confidential administrative duties for senior leaders in an accurate and timely manner. This role will take on a wide variety of tasks and responsibilities. This position will perform special projects for multiple senior level leaders with limited direction. The ideal candidate will have a strong attention to detail and be able to work independently and multi-task in an ever changing environment. 

Responsibilities
  • Complete a broad variety of administrative tasks for the executive team including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes complex and/or confidential; arranging complex and detailed travel plans (domestic & international), itineraries and agendas within budget
  • Research, prioritize and follow-up on incoming issues and concerns to the executive team, including those of a sensitive or confidential nature. Determine appropriate course of action, referral or response.
  • Proactively manages and prioritizes incoming and outgoing company communications to the team. This includes providing a bridge for smooth communication between the executive team and internal teams; demonstrating leadership to maintain credibility, trust and support
  • Work closely and effectively with the executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the executive team updated.
  • Excellent interpersonal skills with the ability to build internal and external relationships crucial to the success of the organization
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Take ownership of team and leadership meeting agendas, including keeping the meetings on track and on time. Take meeting minutes, and ensure that action items are documented and that people are held accountable for them
  • Excellent time management skills which include proactively planning ahead both personally and for executives
  • Proven ability in process management (become an expert on the company’s back office processes, including on-boarding and off-boarding employees)
  • Proven ability in event planning and management

  • Ability to learn quickly and take on new responsibilities; flexible in taking on new tasks/projects
  • Works collaboratively with other administrative assistants throughout the company
  • Strong proficiency in Office 365 Suite, specifically PowerPoint, and experience in high volume calendar management using Microsoft Outlook
  • Ability to work efficiently in an open office environment
Education
High School Diploma or equivalent
